Requesting a review
Send cancellation or refund requests in writing to info@acelanguagecentre.edu.my with the student's full name, course, payment reference and reason for the request.
How requests are assessed
ACE reviews each request against the signed enrolment agreement, the course start date, services already delivered and any third-party or regulatory charges. Visa, EMGS, bank and application charges may be subject to separate rules and may not be refundable once incurred.
AIEP / IEP early termination and visa administration
Where a student requests early termination of the ACE Intensive English Programme (AIEP / IEP), ACE Language Centre reserves the right to apply an Early Termination and Visa/Administration Charge of RM3,000, subject to the student's signed enrolment agreement and applicable law.
The charge is intended to cover the reasonable work and costs arising from an early termination request, including ACE's administrative handling, records and closure work, and the coordination of EMGS or student-pass cancellation, shortening or related documentation where applicable. It is an ACE Language Centre charge; it is not a fee set, collected or guaranteed by EMGS.
The RM3,000 charge includes ACE's administration and the visa-cancellation activities that ACE must arrange for the request. If a government authority, EMGS, bank, insurer, courier or another third party has already imposed a separate cost that is outside the scope of this charge, ACE will notify the student in writing before seeking payment of that additional amount.
Early termination does not automatically create a refund entitlement. Any refund of tuition, visa-related amounts or third-party charges will be assessed under the signed enrolment agreement, the services already delivered and the applicable EMGS, immigration, bank, insurer or other third-party rules. ACE will provide its decision and the relevant processing information in writing.
How to request early termination
The student must submit the request in writing to info@acelanguagecentre.edu.my, stating the student's full name, passport number, AIEP / IEP intake, reason for the request and preferred contact details. The student must continue to comply with all student-pass, immigration and enrolment obligations until ACE confirms the next steps in writing.
Timing and records
ACE will acknowledge requests and provide the outcome or any additional information needed in writing. Approved refunds are returned through the appropriate payment channel after required checks.
Important
This policy is a website summary and forms part of an AIEP / IEP arrangement only where it is incorporated into the signed enrolment agreement or otherwise agreed in writing. The signed enrolment agreement prevails if there is any inconsistency. Nothing in this policy excludes rights or remedies that cannot lawfully be excluded, or prevents a student from raising a concern with ACE, EMGS or a competent authority.
